How the business ran before

A machinery manufacturer tracked every order across departments by email and phone. Planning, logistics, quality, R&D and IT each kept their own notes; a distributor asking where a machine was meant someone chasing five people. Serial numbers lived in one person's spreadsheet.

SaaS product for order creation, tracking and attachments. User system for employees and customers with customized actions. Email notification system.

What it does

Order form with customer, proforma and order numbers, expected delivery date, a 2-year warranty, and the first machine with its customer machine code.

Enter each order once

Sales records the customer, proforma, warranty term and every machine with its options in one place. Once sales confirms it, planning is emailed and the customer hears their machines are in production.

Department checklist for each machine in an order: one machine has every check done and is in transit, another is waiting on R&D and the sales manager.

Every department signs off

Planning, logistics, quality and R&D tick off each machine, and the next team is emailed automatically. A machine can ship only after the sales manager approves it, and that approval needs every other check done first.

Attachments for one machine: packing list, crate photo, electrical schematic, cutting-test video, blade-alignment photo and final inspection report, each tagged with the department that uploaded it.

Paperwork travels with the machine

Inspection reports, photos, packing lists and test videos are stored on the machine they belong to, labeled with the department that uploaded them. Large test videos upload without problems.

Pipeline dashboard with machine counts and columns for In Production, In Transit, Distributor Stock, Sold Under Warranty and Sold Out of Warranty.

See every machine's stage

One board shows how many machines are in production, in transit, in distributor stock or sold, and which ones are still under warranty. Filter by customer to see a single account's machines.

Customer's phone view of an in-transit machine with an Order Received Confirmation button and its inspection report, photos and test video.

Customers confirm delivery themselves

Customers sign in to see only their own orders, with each machine's status and documents, and get an email when it enters production and when it ships. When the machine arrives they confirm it with one button, the warranty starts that day and it lapses automatically when the term ends.

Excel export listing every machine across all orders, one row each, with proforma, product, serial number, machine code, order number, customer, customer type, order date and status.

Take everything into Excel

Download every machine across all orders as one spreadsheet, with its serial number, customer and current status, ready to sort or share. A single order can also be exported with the date each department signed off.
